The Administrator is responsible for performing the secretarial work of the relevant office of the vice president, dean, director or head of department and assisting in all administrative work.
Main Tasks & Duties
- Receive all phone calls, take notes and submit them to his/her line manager.
- Perform all administrative services, such as photocopying, organising and archiving required prints, in both Arabic and English, and using several of the MS Office suite of applications.
- Receive, guide and deal with auditors.
- Prepare agendas, arrange meetings as assigned and plan the appointments of his/her line manager.
- Deal with university staff and students, and other relevant bodies when the work relates to those bodies.
- Organise the office of his/her line manager and maintain its devices, equipment and tools.
- Handle the mail; perform classification and cataloguing, as required; keep records; and monitor and use office equipment as needed.
- Retain information and files, protect their contents and ensure that work-related secrets are not disclosed.
- Handle the work of the line manager of the relevant office of the vice president/Dean or director in the event of the absence of the line manager.
- Handle incoming and outgoing messages, and reply to letters quickly.
- Organise and distribute mail letters to departments and divisions of the university.
- Perform any other duties assigned by their line manager.
Qualifications & Experience
- Preferably with a Bachelor’s degree in a relevant field.
- Preferably with 3-5 years’ experience in a relevant field.

- Excellent planning, research and analytical skills.
- A high level of attention to detail.
- Strong written, oral communication and presentation skills.
- The ability to work as part of a team.
- The ability to deliver outcomes and materials on time in a changing, fast-paced, deadline-driven environment.
- Strong computer skills and a working knowledge of statistical software.
